Administrative Assistant (REF: AA-08.49 H)

Houston, TX

Primary Responsibilities

  • Answer telephone
  • Handle routine office inquiries
  • Use of the following software: word, excel, internet, email, social media (linkedin, facebook, twitter), salesforce
  • Assist with conference logistics
  • Update event spreadsheets and CRM database
  • Coordinate vendor logistics (venue, hotels, printings etc.).
  • Coordinate audio/visual and IT requests
  • Create and post social media notifications for conferences
  • Assist with event setups and event venue logistics
  • Assist with conference logistics, printings, registrations, etc
  • Operate office equipment such as computer, printer
  • Scan and process documents
  • Process all incoming and outgoing mail
  • Provide support to sales and marketing as needed
  • Maintain inventory of office supplies, orders maintenance/repairs for office equipment

Qualifications - Minimum Required

  • High school diploma required
  • Sales and/or customer service experience preferred
  • Ability to work some nights and weekends
  • Enjoys working with customers. Able to build sustainable relationships and trust with clients through open and interactive communication

Experience

  • One (1) year experience in sales in tourism / travel industry/ events preferred
  • One (1) year experience in an office environment preferred

KNOWLEDGE, SKILLS AND ABILITIES

  • Good written and oral communication skills
  • Good organizational skills
  • Good software skills (word processing, spreadsheet, internet, email, social media)
  • Ability to communicate courteously and effectively with a diverse population
